Post-production scheduling platform can now track drives, LTO tapes, and ingest workflows

Post-production scheduling and operations software Freispace has added physical media tracking to its platform.

The system can now track and manage any physical media moving through a facility, such as client ingest drives, camera cards, LTO archive tapes and more. Each piece of physical media is tracked with metadata including media type, passwords/credentials, location, assigned project, and accompanying images, as well as a complete version history.

Facilities can then search this data to find which drive holds a specific clip, reel, or deliverable without having to physically search through shelves or other storage.

They can also build bespoke workflows and configure automatic triggers that fire on each step change, with notifications as media advances through the workflow. Freispace also allows for threaded comments, image attachments and file uploads, creating a record for condition notes, checksum confirmations, label photos, and issue tracking.

Physical media tracking is available as an add-on to Freispace’s subscription system, and works alongside its resource management, project planning, task management, financial features, time recording, and sustainability tracking.

Leonardo Re, CEO and founder of Freispace, said: “Physical media are the lifeblood of every post-production facility. It’s how projects literally arrive at your door. Yet for years, teams have been tracking drives and LTO tapes in spreadsheets, on whiteboards, or in systems that don’t talk to the rest of their operation.

“With Physical Media Tracking, we’ve developed the module our customers have been asking for: a single source of truth for every piece of media that enters or leaves a facility, fully integrated with the scheduling and workflow engine they already use every day. It’s the most comprehensive module we’ve ever shipped, and it directly addresses the ingest pain points we kept hearing from post houses. We’re proud to launch it at IBC 2026, alongside the global community that’s shaping the future of media production.”
